The Credit Specialist is responsible for a wide range of tasks related to credit management, document handling, and assisting the department with daily/monthly deadlines and functions

Essential Functions and Responsibilities:
  • Digitally archive daily bank deposits accurately and promptly.
  • Thoroughly validate credit applications to assess applicant creditworthiness.
  • Process 20-day preliminary lien releases weekly and handle certified mail.
  • Sort incoming mail, apply postage to outgoing mail, and maintain the postage meter.
  • Order necessary supplies for the Finance Department and maintain a well-organized supply inventory.
  • Provide excellent customer service by promptly answering and assisting with all incoming calls to the Credit Department.
  • Accurately enter all Electronic Funds Transfers (EFT), Automated Clearing House (ACH), and wire transactions into the financial system for daily posting. 
  • Create electronic customer folders by scanning and organizing all paper documents into electronic folders.
  • Verify and validate resale certificates and General Contractor Contract Licenses as required.
  • Prepare and mail customer statements on a monthly basis.
  • Set up all new customer accounts in Solar, targeting a minimum quota of five new accounts per day, subject to the number of account requests.
  • Identify and write off monthly service charges posted to accounts held by core/elite customers.
  • Update Solar to discontinue service charge assessments as needed.
  • Prepare Pre-Lien Jobs for the lien process by checking the system for the shipment of goods
  • Respond promptly to all email requests from customers, addressing needs such as vendor forms, W-9 forms, banking information, and completing vendor customer request forms.
  • Provide support to the Accounts Payable department, including ordering supplies and mailing vendor checks on a monthly basis.
  • Handle AP vendor requests, which may include providing forms similar to those requested by Accounts Receivable (AR) customers, W-9 requests, and vendor requests.
  • Monitor and Release orders in bucket Daily from 9:00 a.m. to 5:30 p.m., ensuring timely and accurate processing.
  • Other duties as assigned.
Qualifications:
Education and/or Experience:
  • High school diploma or equivalent required. Bachelor's degree in Finance, Accounting, or a related field preferred.
  • Previous experience in accounting or a related financial role required.
Computer Skills:
  • Intermediate or better knowledge of personal computers and peripherals, word processing and spreadsheet software, e-mail and the Internet.
  • 10-Key by touch
Other Skills and Qualifications:
  • Effective communication and negotiation skills.
  • Detail-oriented with a high level of accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of billing software and order processing systems is a plus.
