Lighting Project Coordinator

Come join one of the fastest growing independently owned distributors in Northern California. We are looking for a full-time Lighting Project Coordinator to join our third shift and support our branch in Hayward, CA.  

The Lighting Project Coordinator serves as a key interface and essential resource for our Lighting department. The position is responsible for keeping  records of all information related to project for documentation, clarification and presentation to management.

PERFORMANCE STANDARDS FOR THE LIGHTING/PROJECT ASSISTANT:

  • Uses standardized organizational processes to maintain accurate & current version control
  • Manage both inbound and outbound sales communication both internally and externally
  • Work with manufacturers and lighting agencies to obtain information for customer projects
  • Follows-up on all PO's associated with respective projects assigned to their project team(s
  • Handle freight claims on inbound and outbound shipments
  • Follows-up on all PO's associated with respective projects assigned to their project team
  • Process payables for projects
  • Assembling submittals for projects 
  • Provide feedback on adequate stock levels
  • Answers phone calls related to their respective project team(s), ensuring that correctly transcribed message & necessary follow-up action
  • Build and maintain customer relationships
  • Review and analyze reports
  • Provide sales data for new and existing customers for database entry

REQUIRED EXPERIENCE:

  • Minimum two years' experience working as a full-time administrative / project assistant, in a similar role is required
  • Microsoft Excel skills are essential
  • Knowledge of Eclipse preferred
  • Excellent communication and interpersonal skills via phone, email and in person are required
  • Knowledge and experience with lighting products and distribution is preferred
  • College degree preferred
